CiT launch Outlook integration facility

Software Engineers at CiT have developed  a unique MS Outlook integration facility which enables email administration to take place from within the CiT suite of Image management back-office systems;
 
  • Clients can view existing emails to and from specified customers from within the individual customer area.
 
  • Clients can send new emails to individual clients from the back office.
 
  • The MS Outlook synchronisation ensures that if users change client details in the back office system it will be updated in MS Outlook.
 
By selecting the individual Client from the Customer Database, the user is able to view all emails sent to and received from the client using the back office system. This helps the library staff to keep complete records of all client communication in a single place. In addition the user can initiate a new email to be sent to the Client from the same window.
 
This facility will further enhance the features of the CRM section of the Customer Database, which includes the following;
 
  1. Extensive list of client details including, multiple addresses for contact, invoicing and despatch.
  2. A ‘Dashboard’ layout which enables the user to view everything from a single screen.
  3. Attach word documents relating to the customer.
  4. Keep freestyle notes relating to customer communications and transactions.
  5. Set next contact reminders which can be viewed as a daily list.
  6. Create multiple contact names and details for a single organisation.
  7. Integration with web front-end, so if client changes details on the web it is updated to the back-office system.
  8. View lists of individual client image uses classified as web downloads and manual sales.
  9. Individual pricing and discounts specific to each customer account, applicable across the board or on a per image basis.
  10. Batch email facility, giving the user the ability to target emails relating to new images to specific sets of clients.
 
MD Richard Cruz explained, ‘Our customers were looking for a way to view all client information without the need to swap from one solution to another. So we created a new section within all our back-office systems which pulls all emails relating to each client into their customer record. This solution enables the users to view all their email correspondence individually from within their customer contact screen – it also allows them to send new emails without having to switch to Outlook. It is a comprehensive solution aimed at improving the overall user experience.’
